How to fill in the template

  1. Replace each bracket. Your name, your manager's name, your job title and the company. Delete the brackets as you go.
  2. Add the date line. Write the day you hand the letter over at the top, for example October 13, 2026.
  3. Write your exact last day. Use the weekday, the month, the day and the year, so there is nothing to count.
  4. Delete the note at the end of the file, which is there only to remind you of these steps.
  5. Sign a printed copy by hand above your typed name, or send it as an email with your name at the end.

The template already avoids the usual mistakes: it names a date instead of saying "two weeks", keeps any reason out, and offers help without promising too much. For the reasoning behind each part, read how to write a resignation letter. Prefer to skip the brackets? The 2 week notice template fills in every blank from your answers.

How to pick one

Three choices decide which example fits:

  • Your reason. Pick the letter that matches why you are leaving, or the one with no reason if you would rather keep it private. A reason is never required.
  • Your tone. Warm letters suit a manager you get on with, neutral ones suit almost anyone, and formal ones suit a letter that goes on file with HR.
  • Your channel. A printed letter needs a date line and space to sign. An email needs a subject line instead, and no address block.

Whichever you pick, change the details to fit your situation. A letter that sounds like you reads better than one copied word for word.

Questions

What is the best resignation letter template to use?

Use one that states plainly that you are resigning, gives your exact last day, thanks your employer and offers help with the handover. That covers what employers need on file. The template at the top of this page does all four, and you can download it as Word, PDF or text and fill in the brackets.

How long should a resignation letter be?

Under one page, usually three or four short paragraphs. Your manager needs the facts, not a story: the decision, the date, a thank you and an offer to help. If you want the bare minimum, a short resignation letter of three to five sentences is enough for most jobs.

Should a resignation letter say why I am leaving?

It can, but it does not have to. One neutral line is plenty, such as a new job, a move or a return to school, and many people give no reason at all. The examples above include a letter for each common reason, so you can pick the wording that matches how much you want to share.

Who should I address my resignation letter to?

Address it to your direct manager. Copy HR if your company asks for it, or send them a copy after your manager knows. A formal letter adds both addresses and the manager's title above the greeting, and the formal example above shows that layout line by line.

Can I edit the resignation letter template in Word or Google Docs?

Yes. The Word file opens in Microsoft Word and in Google Docs with the same font and margins. Replace every part in square brackets with your own details, delete the note at the end, then print it or save it as a PDF. The text file works in any editor if you prefer to paste.

Do I need to sign a resignation letter?

Sign a printed letter by hand in the space above your typed name, since it shows the letter came from you. If you send a PDF, sign the printed copy and scan it, or add a typed signature if your company accepts that. An email needs no signature beyond your name at the end.
